Epsom Public Library Board of Trustees Meeting Minutes
April 2, 2005

The meeting was called to order at 8:25 a.m. Present were Bobby Mongeon, Harvey Harkness, Joyce Heck, and Library Director Nancy Claris.

Secretary's Report: The minutes of the March meeting were amended and then approved.

Treasurer's Report:This report was approved as submitted. The Treasurer will meet with Dodie Duclos to review an identified accounting system for the new facility.

Correspondence: None other than bills/invoices

Old Business:

A. Salary Transactions: this has been completed.
B. On March 16, in Executive Session, the Trustee Chair and Treasurer met to discuss personnel questions.
C. Monthly Calendar: Following is a calendar of activities and tasks per month:
Note: A Trustee representative is requested to attend Selectmen's meetings on the 3rd Monday of every month.
January: budget issues; prepare materials for auditors; compile various account statements; submit Treasurer's and Library Director's reports to the town
February: town deliberative session
March: elections; support Friends of the Library
April: assign duties/offices of the Trustees
May: summer reading program overview
June: planning for Old Home Day
July: possibly no meeting
August: review of budget to date; begin work on next year's budget; Old Home Day
September: finish proposed budget for next year and submit to town
October: Do yearly review for town
November: review all reports for town; conduct hearing re. any donations
December: review reports; end all yearly activities; submit Secretary's Report to town
D. Re. Tax Deductibility of Donations of goods/ service: Terry Knowles of the state office of charitable foundations confirmed Dodie Duclos' determination of deductibility. In brief, supplies/things/money may be donated and deductible, but expertise/labor may not be assigned a value and deducted.

New Business: A. Congratulations to the Claris family on the birthday of Benjamin Michael Dugas!
B. Rotation of Trustee offices: Trustees will retain their current offices: Bobby Mongeon as Chair, Harvey Harkness as Treasurer, and Joyce Heck as Secretary
C. Capital Campaign: Bids have gone out for construction and are to be returned by the end of the month. An update of funds raised/ pledged was distributed.
D. Joyce will keep a computerized list of people or businesses that have assisted with the new building in any way.
E. A fundraising event idea: have novelist Dan Brown be a speaker.
F. Planning for the ground-breaking event of the new Library: The Building Committee will be asked if they wish to coordinate this. If not, the Trustees will.
G. The next Capitol Campaign Committee meeting will be April 14, 5:30 p.m., at the Selectmen's Office.
H. Hans Wendler had agreed previously to photograph construction progress (daily photos).
I. The next Trustees meeting will be May 7, 8 a.m., at the Library.
