Epsom Public Library Trustees' Meeting
April 7, 2008
Attendees: Valerie Long, Roberta Mongeon, Cherylann Arvanitis, Nancy Claris
Meeting Commenced: 5:00 p.m.
The meeting minutes for March 10 and 29, 2008 were reviewed and approved.
The treasurer’s report was discussed. The town offices submitted a listing of where we stand in regards to our budget year-to-date. The Treasurer’s report was accepted by unanimous vote.
Carpet cleaning for the library was discussed. It was agreed to go with the quote in the amount of $1,150 from Brite Magic. Nancy Claris will contact Brite Magic once the snow melts to schedule cleaning.
No correspondence was received.
Regarding the Historical Society collection appraisal, George Foster will not be able to do it at this time. Mr. Foster recommended Charles Yeaton could perform the appraisal of the items, with the exception of the books for record purposes. A list of the items is on hand.
With regards to the insurance of the Historical Collection, Dianne Bird (library volunteer) was contacted to see if the Municipal Association (she is an employee) had a group insurance policy available for Libraries to insure the collection. Ms. Long will contact the Municipal Association to check on the availability of such insurance.
The Volunteer Recognition Day on June 6, 2008, was discussed. The time was set for 6:30 p.m. to 8:00 p.m. A dessert buffet will be served. The Trustees will cook. Live flower arrangements will be given to the volunteers as a "thank you" as in the past. Mrs. Claris will give a short speech.
The topic of the Mrs. Tinsley’s request to use the EPL Historical Center parking lot was discussed. The Trustee’s reviewed the Planning Board minutes on this topic. It was decided that the Trustee’s should consult Town Counsel to determine the Library’s liability if they agreed to such arrangement. Ms. Long will contact Mrs. Tinsley to let her know that the Trustee’s are still researching the legalities of their use of the parking lot.
The Library Strategic Plan was discussed. Sue Palmatier was contacted by Ms. Long about how to begin a plan, but she has not heard back from her as of yet. Ms. Long will try Ms. Palmatier again. Members of the town along with the former building committee and former trustees may be contacted to assist with the plan.
The use of the Epsom Public Library Historical Center by the Historical Society was discussed. The response Mrs. Claris received from the Local Government Center was discussed. The possibility of the Trustee’s obtaining private legal counsel on this matter to obtain an unbiased opinion was debated. Ms. Long will contact the New Hampshire State Library to see if they can recommend an attorney for this situation.
It was determined that Ms. Long will contact the attorney to obtain an opinion and then will contact the Selectmen regarding the EPL Historical Center situation. The Trustees sent an e-mail to the Board of Selectman to request a date after May 1, 2008 to sit with them and discuss our mutual concerns regarding the Epsom Public Library Historical Center.
A copier for the Library was discussed. The topic of repair vs. replacement was discussed. Mrs. Claris will contact Xerox to see if repairs are possible and what the estimated cost will be. We will review this topic again at the next meeting.
There will be a Library Trustee Training Program being held on June 5, 2008. Ms. Long and Mrs. Claris will be attending.
