Epsom Public Library Trustees' Meeting
January 21, 2008

Thank you notes concerning the Open House were received from the ECS Principal on behalf of the staff and Fran Rowe, an ECS teacher. Also, the new Trustees’ Manual from the N. H. Library Trustees’ Assn. was received. Valerie read an invitation to Paul Hodes conference on grants.

Old Business

  • A payroll/appropriations/reporting agreement will be generated by the EPL Trustees’ and sent to the town governing board for their signatures. This document should serve as an agreement with the town that EPL salaries will be processed by the town, that salary reports need to be sent to the library director monthly and that approximately one-fourth of the town appropriation for the library -- minus the budgeted salary portion -- should be automatically sent from the town to the library by the following dates: January 15th, April 15th, June 15th and September 15th. Bobby will prepare this document and forward to Nancy.
  • The employee handbook will be signed by the Trustees and given to all library employees. Cherylann Arvanitis will give the signed contracts to Nancy for proper filing.
  • Valerie Long and Nancy Claris met with a horticulturist who reviewed the landscaping plan for the library that was prepared by a NHTI student and found the plan to be difficult to implement. It was suggested that an affordable plan be drawn by a professional so that it could be submitted to a state landscaping organization and, hopefully, selected to be the organization’s charitable project. Valerie will look into the cost of such a plan and also supply the qualifications of the person under consideration to be hired.

New Business

  • The use of the community room was discussed; policies of other libraries will be gleaned for pertinent information.
  • The purchase of a new photo copier will be tabled for now.
  • Adult programming ideas were suggested such as: financial fitness with a possible investment option, parenting skills, how to navigate the library and brown bag lunches with timely topic discussions. A photography class is offered for January 29th. A survey of library patrons will be developed to look for suggestions.
  • A new date was set for a volunteer appreciation event -- February 15th. Bobby will set the plans in motion.
  • The historic items in the library’s collection will be appraised by George Foster III; Nancy will contact him. Appropriate insurance will then be acquired to cover the value of the items.
  • Formal employee evaluations will try to be completed by September.
