Epsom Public Library Trustees Meeting
January 8 2007

Present: Val Long, Bobby Mongeon, Cheryl Arvanitis, Nancy Claris, Mary Frambach.

1. Reports/Correspondence
   1. Secretary’s Report
      Accepted the 12/11/06 Secretary’s report and the report was filed in the Trustees notebook at the Library.
   2. Treasurer’s Report
      The budget is about at the break-even point. Postage is - $21.57, mostly from mailing fine notices. Question whether if we could use email to reduce costs? We can’t at this point because we don’t have everyone’s email.
   3. Correspondence
      None
2. Old Business
   1. Status of Job Contracts
      The job descriptions and Nancy’s contract are completed. Cheryl will have the contracts signed.
   2. Forms Completed for Operation of the Library
      1. Personnel evaluation tool - tabled.
      2. Meeting Room Checklist - reviewed.
   3. January 20th Dedication
      1. Harvey closing speaker
      2. Friends to coordinate food
      3. Email Margaret about the media - SVS, Hooksett Banner, WMUR, Manchester Union Leader, and Chronicle. Val will call Margaret about the last three, and Cheryl will write an article for SVS and the Hooksett Banner.
      4. Souvenirs - no money for souvenirs at the Dedication. The program will be the souvenir. We need to email Bobby the listing of committee members so that she can do the program. It will have a picture of the Library, the program for that afternoon, list of committee members, and Trustees.
      5. Photographer - Norman Drew will do the photos and can also do video. Andrea can upload the photos and video onto the web site.
      6. Music - none
      7. Flowers - Bobby will ask at her school to have them do flowers. Carole brown will decorate the mantel. Val will get the carnations for committee members.
3. New Business
   1. Water Filtration System
      1. Secondwind Water Systems, Inc. presented their assessment of the situation and gave an estimate. They outlined a problem with the well cap and the well pump pressure. Val will Fax Frank Lemay the letter from Secondwind Water Systems to see if he can rectify the two areas of concern.
      2. Since we are not a "public water system" we would not have to rectify all of the issues on the report. See water quality report.
      3. Secondwind would spread the cost over 3-months - the total cost is $3,285. They will consider back loading the payment so that we put a down payment down and pay over a few months. Steve will get back to Nancy about this. The company will make adjustments to our air pressure. The will head still needs to be repaired.
   2. Selectman’s Meeting
      1. We prepared for discussion with the Selectmen about the Historical Association use of the Epsom Library Annex.
4. Misc
   1. Nancy would like to take 20 hours remaining in annual leave as comp time. Approved by the Trustees.
   2. 2006 Library Annual Report - Val handed out a draft of the Annual Report and Nancy will get the statistics that are needed to finish it. Val will finish by 1/16.
   3. Vicky will be going up to $10.00/hr.
