Epsom Public Library Board of Trustees Meeting Minutes
March 5, 2005
The meeting was called to order at 8:20 a.m. Present were Bobby Mongeon, Harvey Harkness, Joyce Heck, and Library Director Nancy Claris.
Secretary's Minutes: The minutes of the previous meeting were approved as submitted.
Treasurer's Report: The Treasurer's report was approved as submitted.
Correspondence: Thank you notes will be sent to Al Rossi for donated computer equipment, and to the Epsom School Teachers for their @100 donation.
Old Business:
A. Policies and By Laws: All necessary updates and signatures are completed. Trustees will begin working on policies needed for the new library facility, such as meeting room policies.
B. Summary of Building Committee meetings: $794, 000+ has been committed for the building; over $60,000 is not available this fiscal year. On March 20 a tea for families who might donate will be held at Yeaton Tavern from 2:00-4:00 p.m. The Fundraising Committee will next meet on March 8, and the Building Committee will meet March 10 at 5:30 p.m.
C. During this meeting, the Trustees signed the agreement with the Town re. payroll services.
D. Harvey will attend Selectmen's meetings when Bobby is unable to attend.
New Business:
A. Stacking chairs for new building: Nancy will inform the interior designer that we will not use chairs on sale at Stiblers. Bobby had information on a variety of other chair sources, including ones which can be purchased less expensively through the state contract.
B. Prioritizing future purchases for the new building: areas which have received specific donations will be furnished earlier
C. Harvey attended a meeting re. the historic presentation deed restriction provisions for the Town Hall and current EPL building
D. The Trustees prefer to have radiant heat in the floors, and air conditioning in the new facility.
Miscellaneous: a question was raised as to what kinds of in kind donations are tax deductible? A Library friend who is an accountant notified us that non-product in kind donations are not deductible.
The Regular Meeting of the EPL Trustees was adjourned at 9:00 a.m.
