Epsom Library Trustees Meeting
5/6/06

Present: Bobby Mongeon, Cheryl Arvanitis, Val Long, Mary Frambach

Old Business

  1. Approval of April 2006 Meeting Minutes

April minutes were approved. Cheryl will send them to Andrea Talbot to post on the Library Web site.

  2. Rhymes Oil

There is some question about how the bill was calculated. Cheryl calculated that $515.07 was owed as of the March 22, 2006 bill. Cheryl will check on the next statement to confirm what we owe.

  3. Meeting Room Guidelines

We reviewed the new Library meeting room guidelines and checklist. We made several changes and Val will modify the documents, and Mary will get to Tony Soltani for his review. We are also interested in a policy and liability statement regarding the community room, and Tony should be able to help out with that too.

Bobby will email Frank about meeting room door locks to make sure they are different from the main part of the Library.

New Business

  1. Letter to TDBank North

Cheryl has written a letter to TDBank North for change in account signatures.

  2. May 21st Historical Society Meeting

Michael Sullivan - former Librarian at the Greenland Library, will speak at the Old Town Hall for the Epsom Historical Society meeting. Harvey Harkness has requested that the Society take a tour of the new Library. At least one of the Library Trustees will be in attendance at that meeting, so the Society can have a tour.

  3. Update on Progress of NH Libraries

The Town of Merrimack took $2.7 million from the Library fund for the Town to help with the tax rate. This seems to be a trend in some towns, and speaks to the growing tax burden of towns in NH.

  4. Friends of the Library

Cheryl and Val can be members of the Friends of the Library, but as Trustees, cannot hold office.

We will ask the Friends to pay for the naming plaques, but the organization of that effort will be done by the Capital Campaign Committee.

  5. Request for Vendor Payment

Reviewed the Request for Vendor Payment form. This form requests that the Town transfer funds to the Library fund for payment of bills. The Library Trustees request funds on a quarterly basis...typically in $15,000 increments.

The next Trustees meeting is June 3rd. There will not be a July meeting.
